Job Summary:
We are seeking a dedicated and organized Society Secretary based remotely to join our team. The Secretary will play a crucial role in supporting the effective administration and functioning of our society. This position requires excellent relationship management & communication skills, attention to detail is key, along with a commitment to fostering a positive environment for our members.
Key Responsibilities:
Administrative Support:
Manage and maintain society records, including membership databases, meeting minutes, and correspondence.
Manage and administrate financial processes, including; invoicing, banking activities, and basic book keeping.
Prepare and distribute agendas, minutes, and reports for meetings.
Communication:
Serve as the primary point of contact for society members, external stakeholders, and the public.
Facilitate communication within the society and ensure timely dissemination of information.
Meeting Coordination:
Ensure meetings are productive and that minutes are accurately recorded and distributed.
Membership Management:
Oversee the membership enrolment process, including renewals and updates.
Organize and manage membership outreach and engagement initiatives.
Event Coordination:
Assist in planning and organizing society events, workshops, and activities. Attendance at key events will be required, including the Society’s national shows, AGM weekend, and other key events.
Collaborate with other members to ensure successful execution of society programmes.
Maintain the society’s website, ensuring timely updates and engaging content.
Issuing Passports and ensuring timelines set by DEFRA are met.
Duties as Required:
Support the Council in strategic planning and decision-making processes.
Maintain a positive and inclusive society culture, addressing member inquiries and concerns timely.
Qualifications:
Proven experience in a secretarial or administrative role, preferably within a non-profit or society setting.
Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
Strong written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Confident in managing and maintaining all aspects of social media and web presence.
Ability to work collaboratively within a team and engage with diverse groups of people.
Attention to detail and problem-solving abilities.
Sound knowledge of all aspects of Carriage Driving.

A member entitled to attend & vote at the Meeting is entitled to appoint a proxy to attend, speak & vote on their behalf. A proxy need not be a member of the Company but must attend the Meeting to represent the Member. Completion of a Form of Proxy will not prevent a member from attending & voting in person at the Meeting if they so wish.
